Data Services & Archiving unit of the Registry is responsible for the following services:

  1. Students documents and personal details (Bio-data)
  2. Mobilization for National Youth Service Corps.
  3. Custody of graduates certificates

A. STUDENTS DOCUMENTS AND PERSONAL DETAILS (BIO-DATA)

All information on students’ details as it concerns their names, dates of birth, nationality, states of origin, phone numbers, e-mail addresses, contact addresses, courses of study, etc are domiciled in this unit.

B. MOBILIZATION FOR NATIONAL YOUTH SERVICE CORPS (NYSC)

Every graduate of Babcock University is required by the national policy to undertake the NYSC programme for the stipulated period of one year. This unit is therefore responsible for sending all the names of BU graduates for mobilization. In cases where some graduates are above the age of service (30 years), certificates of exemption are issued to them. There are three batches of services in a year – Batch ‘A’, Batch ‘B’, Batch ‘C’.

Batch ‘A’ Service Year starts in March of every year.
Batch ‘B’ Service Year starts in July of every year.
Batch ‘C’ Service Year starts in November of every year.

NOTE: Forwarding of names for any Batch is done three months ahead.

REQUIREMENT:
All prospective corps members are required to submit the following:

(i) BU Graduation Request and Agreement forms from the Registry.
(ii) JAMB Admission Letter
(iii) Babcock University Admission Letter
(iv) SSCE/NECO/GCE ‘O’ Level Certificate (s). This is not the statement of results printed from WAEC/NECO online systems or that issued by the secondary school where the student passed out from. It is the original certificate issued by WAEC OR NECO. The certificates must also be the same with the statements of results that the student submitted at the point of entry into year one because what is submitted would be compared and verified against that result. Any student whose WAEC/NECO Certificates are not ready at the point of submission is required to apply to the examining body (WAEC/NECO) concerned for a confirmation of result sent to the Registrar, Babcock University.
(v) Birth certificate
(vi) A recent passport photograph

Completed graduation request and agreement forms must be submitted to the Data & Archiving Unit of the Registry at resumption by the Second Semester of the final year.

In the case of re-mobilization, it is not automatic for the University to send anyone’s name again to NYSC where the person failed to go for service the first time. Notification would come to the University by the person involved for a re-mobilization well ahead of time before such a name can be sent again.

A married graduate that would like to be posted to the state where the husband resides would submit supporting documents like:
(i) A letter from the husband requesting that the wife be posted to the desired state
(ii) Marriage certificate
(iii) News paper cut-out showing change of name.

Where a graduate is requesting to be posted to a particular state based on health, he/she must tender a medical report from Babcock University Teaching Hospital as evidence.

C. CUSTODY OF GRADUATES’ CERTIFICATES
Graduates are required to collect their certificates in person and not by proxy.

REQUIREMENTS FOR THE COLLECTION OF CERTIFICATES:
(I) Duly signed clearance forms
(II) BU Identification Card
Where the graduate has lost his/her BU Identification Card, anyone of the following can be tendered for identification;
(III) Current Driving License of the graduate
(IV) Current Work place Identification Card
(V) International Passport

In situations where it becomes necessary that any certificate would be collected by proxy, the only persons that can be permitted to collect such on behalf of the graduate are the parents of the certificate owner. In such cases, the following documents MUST be tendered by the collector:
(i) Graduates clearance forms duly signed
(ii) Graduates identification card
(iii) Parents’ identification card
(iv) A letter of authorization from the certificate owner to the University Registrar requesting that the parents collect his/her certificate on his/her behalf. Such a letter would be sent from the certificate owner to the Registrar’s email box and coped to his/her parents.

Other services rendered by the Units include:

  • Collection and collation of graduation request forms for dummy certificates verification
  • Management of Babcock University academic gowns
  • Verification of dummy certificates for the production of graduates' certificates
  • Management of lecture class records.
